Legalization in Ukraine: Exchange and extension of a temporary residence permit

There is no separate “extension” procedure: the permit’s validity is extended by exchanging it. File no later than the last day of validity. If fewer than 15 working days remain, only a territorial State Migration Service office accepts the documents and it extends your permitted stay while it reviews them. If the permit is lost, stolen or damaged, or your data has changed, file within one month. You can file in person at the SMS, a “Document” centre or an ASC. Online filing is not available. Review takes up to 15 working days. A refusal can be appealed within 30 days. Note: a change of ground for stay (for example, from study to family reunification) is not an exchange but a separate procedure, handled individually.

How to exchange or extend a temporary residence permit

Roadmap

  1. Reason

Choose the reason: the term is ending, loss or theft, change of data, damage

  2. Documents

Collect the common documents and those for your reason (list below)

  3. Deadlines

Expiry — apply no later than the last day of validity. Other reasons — within one month of the event

  4. Submission

In person at a territorial SMS office, the “Document” centre or an ASC. Online filing is not available. If fewer than 15 working days remain — only at a territorial SMS office

  5. Review

Up to 15 working days. During review the SMS extends your permitted stay

Required documents

Your ground. Choose your case — the documents and the check depend on it:

For all grounds

  • Application form (generated via the Unified State Demographic Register at the SMS)
  • Valid passport (or stateless person’s document) and a copy
  • Certified Ukrainian translation of the passport data page
  • Proof of payment of the fee or of exemption (original receipt)
  • If you have one — document with your taxpayer registration number (RNOKPP, “tax ID”)
  • If available — extract from the territorial community register on place of residence
  • If filed by a representative — their ID and proof of authority
  • Optional — housing documents (ownership, lease, etc.)
  • Documents issued abroad require legalisation (apostille) and a notarised translation

Document preparation support — 90 days

Upload your documents — the system checks them against the official list and shows what to fix. Unlimited re-checks for 90 days.

Price: UAH 400 · 90 days

The document check (UAH 400) is available once you choose your case: the system checks the package against it.

What is included and how it works

Not a one-off check but repeat checks for 90 days. Your documents stay in your account, and every run checks the whole package together — so it sees whether data matches across documents and whether fixes introduced new errors.

  • The list for your exact ground, based on official migration-service sources and law
  • Each document: validity, translation and certification, all pages, readability
  • Cross-check between documents: names, dates of birth, numbers — the same everywhere
  • A green, yellow or red signal and exactly what to fix
  • Fix — upload — re-check: no limit on the number of checks within 90 days from payment, up to 3 checks per 24 hours
  • Picked the wrong ground? The system flags it; switch at no extra cost
  • A “No obvious gaps found” result once every mandatory item passes without remarks (a preliminary automated check, not a guarantee that the documents will be accepted)

How the check works and what you get

  1. You upload documents for each item on the list for your ground (the list is below, with links to official sources).
  2. An AI system reads the documents and compares them with exactly this list: presence, validity dates, complete pages, legibility, translation, matching names, dates and numbers.
  3. You get a report for each document: a green, yellow or red signal, the reason and what exactly to fix. Anything not checked is marked separately.
  4. The check does not establish that documents are authentic, does not certify translations, does not assess your legal situation and does not guarantee that documents will be accepted or that the decision will be positive. It is not a lawyer’s consultation.

This is an automated check against the official list, not legal advice. The final decision is made by the state authority. Check results stay in your account; document files are deleted 30 days after the support period ends (personal data).
